You can use a video management software, but need to considering the compatible issue. Hardware is a PC that can run the management software would be ok, usually when you use a paid video management software , they will recommend you PC configuration.

Pls check if your DVR and camera support motion record, you can set schedule plus motion recording or the DVR support sensor recording and there are alarm input on the back panel of your DVR, put some wired window sensor and set up sensor recording. Usually, latest products do have this functions.

In fact, you may consider some wifi camera with motion detection and set your recorder at 24h schedule and motion recording. Also, because of outdoor, pls make sure it is IP66 for waterproof

i think “ no ip address to show in router” either mean connection is not good or the camera is defective

For you camera, you should specially check if support WDR for the 2 inside at the top of the stairs looking down them in each direction (front and back stairs). It would be better to have WDR for the camera which is against the light. For camera inside your restaurant, if you want it monitor your checkout counter, you'd better have a 3-4MP box camera.It will give more clear shoot.

if it is Network camera, should have no limited of distance. What kinds of camera is that ?

In my point of view, for residential use: Stability, Pictures quality and easy operation should be your top consideration. The function option will be depends on your needs.

Usually, if you want to have a complete system with local storage, we suggest a DVR or NVR system with dome camera. If you just want to check your apartment remotely, we suggest u a DIY camera.
